What is the best way to handle ground transportation for a corporate retreat in Ibiza?

The simplest way to handle ground transport for a corporate retreat in Ibiza is to give all of it to one local operator with drivers, and to build the plan from your agenda rather than from a list of transfers. Shared vehicles sized to the group cover the fixed moves: airport, hotel to venue, the group dinner. A vehicle at disposal, booked by the hour, covers the days when plans shift. Directors or speakers on their own schedule get a separate car inside the same plan.

Moving 40 people isn't usually the hard part. It gets harder when those 40 people land on six different flights, sleep in two hotels and a villa, and want to leave dinner at different times. That is where taxis and hire cars stop working. Ten taxis means ten bookings and ten chances for something to go wrong. A hire car means someone on your team drives, finds parking and stays sober at dinner.

Per journey or by the hour: matching transport to each part of the retreat

Start with the agenda, not the vehicles. Mark every move: arrivals, the daily run from hotel to venue, dinners, activities, departures. Then ask two questions about each one. Does the whole group travel together? Is the time fixed?

Fixed moves with everyone on board, such as the morning run to the venue, suit a per-journey booking. Days with several short trips, or with plans that might change on the day, tend to suit a vehicle at disposal: you book hours of service and the driver makes as many trips within Ibiza as you need. Vehicle size depends on headcount, luggage and the road at the other end. Our group fleet runs from 19-seat minibuses to 31- and 35-seat midibuses and 55-seat coaches. A coach is the efficient choice between a hotel and a venue on a main road. A finca at the end of a narrow country lane is a different question, and two smaller vehicles may be the better answer. Arrivals at Ibiza Airport when everyone lands at different times

If four people land at 10:15, eight more at 11:40 and the rest at 17:00, there's no point making the whole group wait for the last flight. Group arrivals into windows instead: one vehicle for the late-morning cluster, another for the afternoon. Anyone landing alone at an odd hour gets a private transfer.

To build those windows you need a flight manifest: name, flight number, arrival time, bags and where each person is staying. Send it as soon as people have booked their flights, and send the updates too. Someone always changes their flight.

Delays are the other half of the problem. We track the flights of everyone we pick up, and on private and VIP transfers the driver waits however late the flight is, at no extra cost. Each arrival is met with a name sign and helped with their luggage, so nobody lands after a working day and has to go looking for the group.

Departures work the same way in reverse. Group people by flight time, not by the time the last session ends.

Dinners, activities and getting everyone back at night

The trip out to dinner is easy: everyone leaves at 20:00. The way back is harder, because some people want to leave at 23:00 and others much later. Either agree a first and a last return time before the evening, or keep a vehicle at disposal for the night so the driver can do more than one run. We operate 24 hours a day, so a 2:00 return is booked like any other.

Activities around the island follow the same logic: one vehicle sized for the group, either waiting or coming back at an agreed time. A day trip to Formentera is different. We only operate in Ibiza, so we can take the group to the port and collect it when the ferry comes back, but transport on Formentera needs arranging separately.

Executives and VIP guests inside the same plan

Senior people often run on a different clock. They arrive a day later, leave mid-retreat for a meeting or fly in privately. Give them their own car rather than holding a minibus for one person, but keep them in the same plan with the same operator, so whoever is running the transport knows where everyone is.

What to send when you ask for a quote

Cost depends on the number of vehicles, the hours and the time of day, so there is no useful fixed figure to give here. A quote built from your agenda is the only reliable number. To get one, send:

  • The agenda, day by day, with times and places
  • Headcount, and how it changes over the retreat
  • The flight manifest, or rough arrival and departure times if flights aren't booked yet
  • Exact addresses of hotels, villas and venues, including any private lanes
  • Luggage per person
  • Anyone who uses a wheelchair or has reduced mobility, so an adapted vehicle can be planned in

Send it as soon as your dates are fixed, especially for a summer retreat: the earlier the operator sees the agenda, the more room there is to plan.

Then ask a few questions back. Who is my contact while the retreat is running, and can I reach them at night? Does the company hold the licences required for passenger transport, and is every vehicle insured? What happens if a flight is cancelled or the agenda changes on the day?
